The ideal candidate will ultimately strive to provide a best in class experience to stakeholders and candidates. Person Specification Scheduling and Support 50% Act as point of contact for candidates, stakeholders / hiring managers and recruitment suppliers in regards to scheduling interviews and provision of feedback, conveying a professional image and approach at all times Co-ordinate the activity of senior stakeholders via PA community Respond to and resolve a wide range of queries, channelling them to the appropriate Resourcing Managers Liaise with recruitment suppliers, candidates, PAs (of hiring managers), hiring managers, and interviewers to agree an interview schedule Ensure interviewers are trained and are subject matter experts Book travel arrangements, accommodation and itineraries for the Resourcing Team in line with the travel policy, and confirm all relevant travel arrangements Collate written / typed feedback from interviewers within specified timeframes Prepare paperwork for interviews or meetings as required Attend meetings and take / transcribe minutes and follow up any actions as applicable Maintain a good working relationship with other support and administration staff, providing back-up and cover during periods of heavy workloads or absence Administrative Support, Management Information (MI) & Compliance 50% Undertake administrative, MI and compliance duties required for the smooth running of the Resourcing function and compliance with Group Policies Ensure that systems are updated on a daily / ongoing basis, including the administration and management of Taleo (end to end recruitment system) Create and maintain relevant electronic and manual filing systems for document capture/storage, in line with records management policy Production of MI and preparation of reports on a weekly, monthly and ad-hoc basis via Taleo Maintain appropriate finance records (SAP, e-expenses, company Barclaycard, purchase orders etc), challenging inappropriate expenditure Collate/generate Diversity and Inclusion information for reporting purposes Maintain complete and accurate records for the team (i.e. holiday entitlement) Undertake or assist with the collection of identification verification, proof of address and legal right to work documents from candidates Own the Resourcing intranet site and make changes/updates where necessary Administration and support for the Employee Referral Scheme launch Person Specification Essential Relevant experience in a delivery focussed team that works to tight timescales and with complex / multiple delivery channels and stakeholders Stakeholder and relationship management skills and experience Relevant administration skills and experience, which must include: Excellent written and verbal communication skills Close attention to detail and accuracy under pressure Maintain relevant documentation Administer and maintain systems (electronic and paper based) Excellent PC based skills including advanced knowledge of MS PowerPoint/Excel/Word/Outlook Understands how to measure service delivery with metrics and targets Tracking of documents and processes Desire and/or experience of delivering a 'first class' service to internal stakeholders, candidates and external suppliers - must be able to demonstrate the ability to strive for service excellence Good time management, planning and organisation skills Proactive and self motivated Ability and desire to be creative in approach to problem solving | Region/Country: | Europe, UK | City: | London | Address: | Post Date: | 02/08/2012 |
